We collect and use the information needed to administer your booking, process your payment, communicate with you and look after your stay.
Information we collect
When you enquire or make a booking, we may collect:
- Your name
- Your phone number
- Your WhatsApp number, if provided
- Your email address
- Your booking dates
- The number of guests in your group
- Pet information, including the number of pets
- Payment-related transaction references
- Any information you submit through booking or contact forms, such as special requests
Why we use this information
We use this information for:
- Booking administration and availability management
- Payment processing and payment verification
- Guest communication before, during and after a stay
- Property operations, guest assistance and arrangements requested by you
- Meeting legal, accounting and compliance requirements
Behavior analytics and session recording
We may use privacy-conscious behavior analytics, including Microsoft Clarity when it is enabled, to understand how visitors navigate the website, where people reach the booking flow, and which parts of the experience need improvement.
These tools may collect technical device information and interactions such as page views, clicks, scrolling, navigation timing and high-level booking-funnel events. We configure recordings to mask guest contact details, booking confirmation details, payment content and administrative screens. We do not send guest names, phone numbers, email addresses, special requests, payment identifiers or raw advertising click identifiers as analytics event properties.
Behavior analytics providers may use cookies, local storage or similar technologies and may process information under their own privacy terms. Analytics is not required to browse the property, request availability, create a booking or complete payment.
Optional Google Ads purchase matching
You may optionally allow Google Ads purchase matching to help us understand which advertising interactions lead to a completed accommodation booking. This choice is separate from the booking terms and is not required to browse, book, pay or receive a booking confirmation.
Only after a verified captured payment, and only when this optional feature is enabled with your consent, we may send Google securely hashed versions of the email address and mobile number you provided. Raw contact details and the hashes are not placed in URLs, analytics event properties or application logs. We do not upload historical bookings through this feature.
If you decline or withdraw consent, the ordinary purchase measurement event may still be sent without customer-matching data.
Payments
Online accommodation payments are processed through Razorpay or another authorised payment processor used by Romy’s Farm. We receive the transaction references and payment status needed to verify your booking.
Romy’s Farm does not claim to store your complete card or UPI credentials. Payment details are handled by the authorised payment processor according to its own terms and privacy practices.
Sharing and service providers
We may share the information needed to process a booking with payment processors such as Razorpay and with people helping us provide the stay, such as property staff or service providers. We may also disclose information where required by law or to protect the property, guests or our rights.
Data security
We take reasonable technical and organisational steps to protect booking and contact information against unauthorised access, loss or misuse. No online system can guarantee absolute security.
Data retention
We retain booking, transaction and communication information for as long as reasonably necessary to administer the stay, maintain business and accounting records, resolve disputes, meet legal or compliance obligations and protect our legitimate interests. When information is no longer needed, we take reasonable steps to delete or securely dispose of it.
Your rights
Subject to applicable law, you may ask what personal information we hold about you, request correction of inaccurate information, ask questions about how it is used, or raise a concern about its handling. We may need to verify your identity before responding.
